Singapore Passport Photo Online Submission Checklist 2026: 7 Checks Before You Upload

The most common mistake before an online passport application is checking only the pixel dimensions. A file can be 400 × 514 pixels and still create problems if the face is too large, the background is uneven, the photo is old, or the export has been damaged by repeated editing.

Use this checklist before uploading a Singapore passport photo online. It is designed for the final five-minute review, not as a replacement for ICA's official guidance.

1. Start With the Original Photo

Use the original camera file whenever possible. Avoid a photo that has been downloaded from a messaging app, screenshot, or repeatedly edited and re-saved. Those copies may be smaller, softer, or have unexpected compression.

Choose a recent colour photo with a plain background. ICA says a new colour photograph is required for a new application, and a digital passport photo should have been taken within the last three months.

Do not start by changing brightness or adding a beauty filter. First decide whether the source photo is suitable. Editing cannot reliably fix a tilted head, closed eyes, strong shadows across the face, or a photo in which the shoulders are cut off.

2. Confirm the Current Digital Dimensions and File Limit

ICA's current Photo Guidelines state that 400 × 514 pixels is the recommended dimension for online photo submission. The same page lists jpg, jpeg, heic, heif and png as accepted extensions, with a maximum file size of 8MB.

This is important because older guides may still mention a 60KB limit. Do not copy that number into a new checklist unless the specific ICA service you are using gives a different instruction. Always follow the live instruction on the application page.

Dimensions are only one check. A correctly sized image can still fail a manual quality review.

3. Check the Background and Lighting

The background should be plain and light, without patterns, objects, or a hard shadow behind your head. Your face should also be evenly lit.

Check the image at 100% zoom:

  • Is the background visibly uniform?
  • Is there a dark shadow behind the head or shoulders?
  • Is one side of the face much darker than the other?
  • Is the hair edge clear rather than blurred by portrait mode?
  • Is the photo free from colour casts caused by warm indoor lights?

Avoid taking the photo directly against a wall if your head touches the wall shadow. Stand far enough away from the background and use soft light from in front of you.

ICA's guidance also warns that the photograph must not be altered or enhanced in a way that changes your appearance. A background correction or crop is not a guarantee of acceptance; the final image still has to look like a natural, current identity photograph.

4. Check Face Position and Expression

Look straight at the camera with your head upright. Keep your mouth closed and use a neutral expression. Both eyes should be clearly visible.

Before uploading, check:

  1. The head is not tilted left, right, up, or down.
  2. Both sides of the face and the top of the shoulders are visible.
  3. The face is not too close to the top or bottom edge.
  4. Hair does not cover the eyes.
  5. Glasses do not create glare or hide the eyes.
  6. There is no beauty filter or facial reshaping.

The crop should make the face prominent without cutting off the shoulders. If you are unsure, compare the image with ICA's sample images instead of relying on how it looks in a small phone preview.

5. Check the Date and Likeness

The photo should represent how you look now. Do not reuse an old photo simply because it has the correct dimensions.

Replace it if you have had a significant change in hairstyle, facial hair, glasses, or overall appearance. The goal is not to make the photo look more polished; it is to make the identity clear and current.

For the same reason, do not use a group photo, a heavily filtered social-media portrait, or an image with another person's shoulder visible at the edge.

6. Check the File Before Upload

Open the exported file separately from the editing tool and inspect it as the actual upload file. Confirm:

  • the dimensions are still 400 × 514 pixels if you chose that recommended size;
  • the file extension is one of the formats listed by ICA;
  • the file is below the current 8MB maximum;
  • the image is not corrupted or unexpectedly rotated;
  • the export has not introduced blocky compression or a grey background.

If the portal rejects the file immediately, record the exact error before changing anything. Change one variable at a time. For example, if the error concerns the file, re-export the file; do not also change the crop and background at the same time.

7. Know What a Photo Tool Can and Cannot Fix

A photo tool can help with mechanical preparation: cropping to a consistent portrait ratio, resizing the file, exporting a supported format, and checking basic dimensions.

It cannot guarantee that ICA will accept the image. It cannot make an unsuitable source photo suitable by fixing closed eyes, a tilted head, strong facial shadows, an outdated likeness, or an altered appearance.

If you already have a suitable source photo but need help preparing the technical output, you can prepare a Singapore passport photo with GetVisaPic. Review the result yourself against the official ICA guidance before submission.

Final Upload Checklist

Tick every item before you open the application page:

  • Recent colour photo, taken within the required period
  • Plain, even background with no distracting shadow
  • Full face looking at the camera, head upright
  • Eyes visible, mouth closed, natural appearance
  • Hair and accessories do not hide facial features
  • 400 × 514 pixels, if using ICA's recommended online dimension
  • Accepted file extension and below the current 8MB maximum
  • Final file checked separately from the editor
  • Official ICA guidance checked on the day of submission

If the photo does not pass the visual checks, retake it. If the photo is suitable but the file needs technical preparation, process the original once, export a clean copy, and inspect that copy before uploading.

The official ICA Photo Guidelines remain the source of truth because requirements and application systems can change. This checklist helps you prepare; it is not an approval promise.
